The Role Responsibilities
  • Perform an extensive array of administrative tasks in a timely manner while maintaining careful attention to detail:
    • GBS HR Duties: Raising JRs and MIEG IDs as well as manage staff onboarding and exit processes (end to end) for full time employee and contractors.
    • Non-GBS HR duties: Liaise with Onboarding Teams to manage staff onboarding and exit processes (end to end) for full time employee and contractors.
    • GBS Financial Administration: Raising PRs, Tracking POs, payment and deliveries.
    • Travel Duties:
      • Ensure all India travel requests have the necessary line manager approval before submitting to Group Cloud & DevOps Secretary to obtain for necessary approvals.
      • Provide document checklist and travel process:
        • Visa application process
        • TAR process.
      • Post approved TAR to follow-up with CWT team to issue ticket /Hotel booking on time.
  • Support Cloud & DevOps India location activities and logistics.
  • Act as a point of contact for other domains within Cloud & DevOps and external suppliers, appropriately handling confidential information as necessary.
  • Strong awareness of and adherence to SCB policies (i.e. travel, T&E, delegated authority, etc)

Our Ideal Candidate

The successful candidate will ideally have the following skills and experience:

  • Proven experience as an executive administrative assistant or in other operations position
  • Comfortable to deal with senior management across different countries and cultures
  • A self-starter with a ‘hands-on’ style, able to operate with minimal guidance
  • Responsive with meticulous attention to detail (particularly in documents)
  • Good communication skills with strong command of English
  • Reliable, discreet and diplomatic
  • Ability to handle multiple requests, navigate ambiguity and work in a fast-paced rapidly changing environment.
  • A team player who demonstrates good interpersonal skills with ability to prioritize workload and manage conflicting priorities
  • Self-motivated, confident, enthusiastic and practical
  • Able to multi-task and manage numerous deliverables effectively
  • Full comprehension of office management systems and procedures
  • Excellent knowledge of MS Word and Excel
